Payroll

Payroll (under Finance) turns your staff roster into pay runs, with Canadian source deductions worked out for you. It has five tabs: Overview, Employees, Run Payroll, Pay Runs and Year-End.

Employees come from HR

Payroll has no separate staff list. Each person's pay type (hourly or salary), rate, standard hours, pay frequency, vacation pay and TD1 claim amounts are on their HR profile. The Employees tab lists them with year-to-date totals, and Edit opens the HR profile. Former staff stay listed for year-end. See Staff and HR.

Running payroll

  1. Open Run Payroll and pick the pay frequency. Active employees on that schedule fill the table.
  2. Set the period start and end and the pay date.
  3. Check hours for hourly staff, or gross pay for salaried staff. Both can be changed for this run.
  4. Review CPP, EI, tax, vacation pay and net pay for each person and the totals.
  5. Click Commit pay run and confirm.

Committing posts the run to the books and adds to year-to-date figures. Review the totals first: a committed run is final. Committed runs are listed under Pay Runs, where you can print a pay stub for each employee.

Year-end

The Year-End tab builds the paperwork from the year's committed runs:

Document What it is
PD7A remittance Income tax, CPP and EI (employee and employer shares) owed for the year
T4 Summary The employer totals across all slips
T4 slips One per employee, to print or email
Record of Employment First and last day, pay period type and insurable earnings for someone who has left

Use the year picker for earlier years.

Payroll settings

Settings on the Payroll page holds your company details and payroll account number, the CRA rate constants (CPP rate and maximums, EI rate and the employer factor, basic personal amounts), pay schedule defaults and employer costs such as EHT, workers' compensation and an RRSP match.

Benefits, recurring deductions, pay advances and expense claims are managed in HR and feed into payroll. See Staff and HR.
