SMS, phone, shipping, AI and more

Every integration is optional. Enter a provider's details in Settings & Secrets to turn it on, and leave them blank to keep it off. Keys are stored encrypted in your database. See Settings and the secrets vault.

Text messages

Settings & Secrets › Text Messages (SMS) connects one of:

• Twilio: account SID, auth token and your sending number.
• Telnyx: API key and your sending number.
• Yeastar: your phone system's SMS.

Texts are used for repair status messages, campaigns and review requests. A customer who replies STOP joins an opt-out list that every later text respects.

Phone system

Settings & Secrets › Telephony & Live Chat connects a Yeastar PBX. Calls are logged automatically and matched to customers, and staff can dial out from a customer's profile. See Call log, texts and live chat.

Shipping

Enter your UPS client ID, client secret, account number and environment in Integrations & API Keys for live rates at the POS and checkout and for shipping labels. See Orders and shipping.

Google

• Google Places API key and Place ID: show your live Google reviews on your website, and fill your hours, phone, address and open or closed status from your Google Business Profile. Results are cached for six hours.
• Google Maps API key or a Mapbox public token: address autocomplete in forms.
• Google Analytics (GA4) and Meta Pixel IDs, if you want them alongside the built-in analytics.
• reCAPTCHA keys for extra protection on public forms.

AI

Integrations & API Keys picks an AI provider: Anthropic (the default), OpenAI, or a local model through Ollama, which needs no key. With your own key, AI helps with:

• live chat answers and suggested replies,
• triage notes and quote messages on repair tickets,
• trade-in estimates on your website and price suggestions on the refurbishing bench,
• reading supplier bills you attach in Accounting,
• product descriptions and page SEO text.

Inside the console, AI output is a draft that a staff member reviews and applies; nothing is saved or emailed on its own. Customers see AI output in two places only: the chat assistant's replies and the trade-in estimate on your website. Without a provider, these features hide or fall back to manual entry.

Accounting sync

Settings & Secrets › Accounting Sync connects QuickBooks Online or Xero:

1. Click connect and approve access on the provider's site.
2. Check the account mapping, which fills itself in where it can.
3. Send entries with Run now, or add an hourly scheduled job calling https://your-domain/api/accounting-sync?action=run with your cron key, the same way as in Scheduled jobs.

Each journal entry is sent once per provider, and failures are listed so you can fix and resend them.
