Email setup

CVN ERP sends receipts, invoices, repair status emails, appointment reminders, portal invites, newsletters and campaigns through an SMTP service you choose. Without it the app still works, and documents can still be printed or downloaded.

Connect a mail service

  1. Open Settings & Secrets › Integrations & API Keys and find Email delivery.
  2. Pick a provider: custom SMTP, SMTP2GO, SendGrid, Mailgun, Amazon SES or Postmark.
  3. Enter the SMTP host, port, username and password or API key.
  4. Set the from email address your customers will see. Your provider must allow you to send as that address.
  5. Save, then open Settings & Secrets › Email Delivery and send a test message.

The password or API key is stored encrypted in the database and is masked after you save it.

Which emails go out

Email templates are grouped as Repairs, Service calls, Orders, Billing, Account and Marketing. Edit the wording and layout of each in Doc & Email Templates. See Document and email templates.

Some emails depend on switches elsewhere:

  • Repair status emails at each stage: Settings & Secrets › Repairs.
  • Appointment and service-call reminders: they need the scheduled jobs.
  • Campaigns and newsletters are queued and sent in batches by a scheduled job, within the quiet hours and daily cap you set in Campaigns, reviews and newsletters.

Delivery problems

Settings & Secrets › Email Delivery shows the configuration in use, recent sends and a live test. If mail does not arrive:

  • Check the test result first.
  • Make sure the from address is verified with your provider.
  • Ask the recipient to check spam.
  • Use a dedicated sending service rather than a personal mailbox.
